Project Management/Coordination

PATH is seeking a Program Coordinator position on Third Party Payroll (Randstad) under TIS vertical to support the programs and act as a liaison between program and finance admin functions.
 

Primary Responsibilities include

 

  • Serves as the primary point of contact for all administrative, logistics and travel related matters for the project team.
  • Organizing and facilitating various workshops and events for in-house staff and external stakeholders.
  • Managing logistic arrangements of all the events, collating materials, planning for staff & participants’ travel and reimbursements.
  • Managing travel and accommodation requests coming from various cities/ states and ensuring safety & security
  • Provides a full range of administrative support to the Project Team, including scheduling travel and event arrangements, meeting, internal staff relations, external liaison, and correspondence.
  • Draft minutes and reports of various meetings and workshops.
  • Maintain database of regular vendors to manage small procurement as per the procurement policy.
  • Coordinate with program team and PADM in preparing budget related to program i.e. consultant hiring, event and workshop, procurement & logistics.
  • Facilitate the finalization of vendors for any project related activity in coordination with Senior Project Administrator.
  • Coordinate with vendors and contractors for submitting invoices within the due timeline and tracking vendor advances.
  • Coordinate with PADM in all financial/administrative processes for payment to Vendor/NGO/CBO.
  • Assist in processing Travel Expenses (TER) of PATH and non-PATH staff and keep track of Travel Advance and TER.
  • Prepare and submission of claims and reconciliation with required supporting, procurement plan, advance settlements against activities as per the organization’s financial norms.
  • Maintains payment tracker to know if there are any undue delay and provide payment advice to the vendor immediately after payment.
  • Comply with applicable PATH policies, SOPs and local laws.

 

Knowledge, Skills and Abilities:

 

  • Strong experience in organizing workshops, seminars, training & meetings and marketplaces as and when required is essential.
  • Good communication skills in English and Hindi.
  • Proven interpersonal skills and ability to work effectively independently and in a team.
  • Well-organized and attention to detail with good follow-through skills.
  • Experience of independently liaising with Vendors/NGOs.
  • Computer proficiency with high level of familiarity with commonly used packages like MS Word, Excel, Power Point, Outlook & Web surfing to search relevant data & documents.
  • Ability to handle a variety of assignments under pressure of deadlines.
