About Job Profile

Communication/Information Management

Reporting to the Operations Manager, the ICT & Operations Assistant shall be assisting in the implementation of ICT policies and standards, providing ICT and administrative support services and daily technical support to end users. The incumbent shall be supporting the management of the organization’s resources, assisting in implementing ICT standards and applications, managing data, information and workflow. S/He provides ICT and administrative support services and daily technical support to Country Office (CO) staff.

Primary Responsibilities include

National UN Volunteer ICT & Operations Assistant will be responsible for:

Effective ICT Support to Country and State offices

  • Supporting the implementation of ICT management systems and strategies; complying with corporate information technology standards for the CO;
  • Supporting the use of Enterprise Resource Planning systems for improved business results and improved client services;
  • Ensuring effective functioning of CO hardware and software packages; performing technical functions, including assisting with the installation and repair of commercial and in-house hardware and software applications; assisting with routine repairs, application management, maintaining supplies inventory; provision of support in backing up and restoring files, and virus prevention;
  • Ensuring ICT security through restriction of administrative rights to prevent the loading of unauthorized software; ensuring that desktop, laptop and server passwords and related policies are in line with established corporate standards;
  • Supporting networks administration, including the establishment of offsite backup, backup logs and restoration procedures; trouble-shooting network problems and responding to user needs regarding network access;
  • Providing administrative support by managing software, hardware and parts, including the maintenance of an up to date inventory; maintaining CO databases and providing orientation and coaching to staff; maintaining a library of ICT related reference materials; preparation of statistical reports as required;
  • Assisting in procurement of new equipment for the CO and project, provision of technical specification and information on best options in both local and international market;
  • Maintaining Inventory and stock of supplies and spare parts in cooperation with the procurement unit;
  • Providing support to programme teams in using new IT tools and applications;
  • Carrying out any other duties as may be required by the supervisor.

 

Effective Administrative and Operational support

  • Management and maintenance of network profiles, user groups, printer queues, printer servers, and login scripts.
  • Configure network printers, badge printing, other office automation equipment, and provide user access.
  • Advise and assist users in cloud backup procedures. Provide assistance to separating staff on backup and handover cloud storage space.
  • Document hardware configuration and support procedures, develop and maintain technical instructions and user guides. Provide basic ICT training to the staff.
  • Maintain HQ ICT asset register, ensuring all assets are tagged and accurately recorded in the register and asset decommissioning.
  • Support Operations team on Requisition creation in the ERP system, and processing payments through AODOCS.
  • Research and help create templates/reporting formats to facilitate tracking of operations activity and the management of work and live status reporting.
  • Provides day-to-day support to administrative operations in accordance with UNFPA rules, policies, procedures and processes and relevant Standard Operating Procedures.
  • Assists with IT procurement and planning, working together with the Administrative/Finance Associate and the Operations Team in the Country Office.
  • Provides logistical support during trainings, conferences, workshops
  • Manages stationery and office supplies assists in purchasing office equipment, as required.

Knowledge, Skills and Abilities:

 

  • Relevant certifications in hardware and software management and application including Microsoft Certified Professional (MCP);
  • Good knowledge of PC/LAN operating systems, Microsoft Windows, corporate ICT security and viral protection systems, ERP;
  • Experience in client support, such as a Help Desk or User Support Unit shall be desirable.
  • Ability to write clearly and concisely.
  • Initiative, sound judgment and demonstrated ability to work harmoniously with staff members of different national and cultural backgrounds.
  • Good communication skills - interact with vendors, train users, and give instructions. Must be able to work effectively with people of different national and cultural backgrounds in a team environment.
  • Considering rapidly changing technology, incumbent must adapt and learn quickly.
  • Ability to work independently, make decisions without consulting supervisor, and prioritize work. Supervisory control is limited to the overall direction of projects and the issuance of new assignments. Attention to quality and capacity to meet deadlines.

 

Other Information:

New Delhi and the surrounding National Capital Region is a large and bustling metropolis of some 14 million people undergoing rapid changes. The capital city is an administrative, cultural and commercial center with modern amenities and well connected by air. It is a safe place with large expatriate community drawn from embassies, UN agencies, MNCs and foreign businesses. It has short moderate winter and long hot summer.

As this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials. This position is based in New Delhi. National UN Volunteers are part of the malicious insurance plan. National UN Volunteers are expected to be culturally sensitive and adjust to the prevailing culture and traditions.

Conditions of Service for national UN Volunteers

The contract lasts for the period indicated above with possibility of extensions subject to availability of funding, operational necessity and satisfactory performance. However, there is no expectation of renewal of the assignment.

The applicable Volunteer Living Allowance is provided monthly to cover housing, utilities and normal cost of living expenses. Life, health and permanent disability insurance are included (health insurance for up to 3 dependents - except for UN Community Volunteers), as well as final repatriation (if applicable). Furthermore, in non-family duty stations that belong to hardship categories D or E, as classified by the ICSC, a Well-Being Differential (WBD) will be provided monthly.

• Monthly Voluntary Living Allowance (VLA): INR 40,483
• Entry lump sum (one time payment): USD 400 (equivalent in Indian Rupees)
• Travel ticket when moving to duty station: USD 200 (equivalent in Indian Rupees)
• Exit allowance (paid on successful completion of the assignment): 1 VLA/12 months for each month served
• Medical and life insurance Cigna Private Insurance

 

Leave entitlements
• Annual leave: 2.5 days accrued per calendar month
• Certified sick leave: 30 days
• Uncertified sick leave: 7 days
• Learning leave: 10 working days per consecutive 12 months
• Maternity leave: 16 weeks
• Paternity leave: 10 days
