Monitoring, Evaluation and Assessment

The Deputy Director – Procurement & Logistics for SJY-ILE would be responsible for leading and managing the Procurement & Logistics component of SJY-ILE programme. The primary role is to strengthening the procurement & logistics process to arrange the hospitality and logistics to Domestic and International delegates visiting Bihar under SJY-Immersion & Learning Exchange Programme.

 The candidate will ensure the quality services provided by the various vendors for the project. S/he would be responsible for monitoring stock levels and overseeing the movement of incoming and outgoing goods.
 
The role will be responsible for procurement of all goods and services efficiently following the organization’s guidelines and effective procurement management, including optimal and cost-effective supply of good and services throughout the project period.

 Establish and maintain sound working relationships with suppliers and stakeholders, as well as ensuring donor compliance requirements are met.
 
The candidate is expected to maintain excellent customer relations with the ILE delegates and Donors. Handle delegates complaints patiently and professionally and ensure not to repeat same in future exposure / learning visits. 

Explore the various vendors for smooth ground / air transportation of the delegate visits from arrival to departure. Improve delegate satisfaction by providing the extraordinary hospitality services.
 

Primary Responsibilities include

 

  • S/he will be responsible for the onboard of various stakeholders and vendors to be involved in the project duration.
  • Ensure the process of generating procurement requisition, processing of procurement request and following up on the deliverables.
  • Ensure the necessary approvals are obtained before execution.
  • In liaison with the supervisor, program, finance and procurement team, coordinate preparation, evaluation, analysis and approval of bids and tenders.
  • Building and managing effective relationships with internal and external stakeholders in order to achieve common goals.
  • Streamline procedures and resolve problems related to procurement processes in his/her custody.
  • Ensure the quality services provided by the various vendors for the project.
  • Explore the various vendors for smooth running of the delegate visits from arrival to departure.
  • Providing the training on hospitality to project team and handling of delegates during the visits to SJY ILE program team members
  • Manage a calendar of ILE visits and events in coordination with the ILE PMU Director.
  • S/he will represent the ILE PMU to accompany every visiting group to the field visit points.
  • Represent PMU for liaison, interface, review and knowledge sharing with different visiting teams, partners and other stakeholders.
  • The role will require frequent travel to interior areas in Bihar, travel to different states and occasional international travel in future.

 

Knowledge, Skills and Abilities:

 

  • Prior experience of working in reputed Hospitality or tourism industry preferred in Bihar.
  • Experience in events organized for national/international delegates
  • Knowledge about NGO Sector and community institutions would be considered a great asset.

The programme aims to alleviate extreme poverty among ultra-poor households through diversification of livelihoods, capacity building and improved access to finance & government entitlements.
