Science, Society and Culture (SSC) seeks an administrative coordinator. This person will work on the planning and execution of the administrative and logistical aspects across all functions of the division.

Day-to-day priorities will include scheduling meetings, interacting with operations divisions of the Foundation, tracking program and administrative budgets, coordinating all Science, Society and Culture events, managing the calendar for the Vice President of the division and various ad hoc administrative tasks. A strong alignment with our team values is a must.

We are a small, dedicated, and hard-working group that values collaboration and a respectful work environment.

The coordinator will report directly to the vice president and participate as an integral member of the Science, Society and Culture division, while collaborating with multiple departments across the foundation such as events, AV, finance, and communications. A self-starter, they will build upon and improve what is in place, with the goal of propelling the work of the division even further.
 

Primary Responsibilities include

 

  • Plan and deliver the various internal and external meetings and events for the division, including the annual Science Sandbox Summit (tasks may include building guest lists and event agendas, tracking RSVPs, securing venues, ordering swag, travel arrangements, catering etc.).
  • Act as first point of contact for the division — screen telephone calls, inquiries and requests and refer as appropriate.
  • Provide direct administrative support to the Vice President, Science, Society and Culture, including correspondence and calendar management.
  • Manage contract processes for all Science, Society and Culture vendors/consultants, interfacing with Legal/Contracts to provide key details for contract creation; manage execution of contract and ensure it is filed with the Foundation.
  • Track program and administrative budgets and work with the budget manager on reporting.
  • Perform various other administrative tasks, such as expense reporting for team, filing, and invoice payments.
  • Attend meetings with colleagues as needed; take meeting minutes and document the outcomes and action points, including the annual science, society and culture advisory board meeting.
  • Foster and build good working relationships, both internally and externally. This position will to be able to work well with a variety of people and develop strong networks within the organization.

 

Knowledge, Skills and Abilities:

 

  • Strong project management experience: the ability to prioritize and adapt to the demands of projects, while meeting deadlines across all active projects and remaining flexible, calm and focused.
  • Experience of building budgets and tracking spend, including forecasting.
  • Strong communication and organizational skills, with a specific focus on attention to detail; high emotional intelligence; ability to speak comfortably and clearly with colleagues and awardees.
  • Experience with event planning and delivery, including venue procurement and coordinating event logistics in multiple locations from a distance, a plus.
  • Enthusiasm about the mission and work of the Science, Society and Culture division
