Project Management/Coordination

The Executive Assistant (EA) will provide direct administrative support to the Executive Director  (ED) and coordinate with the staff members on behalf of the ED’s Office.  

Primary Responsibilities include

 

  • EA will be responsible for a variety of administrative support tasks, which may include domestic  and international travel arrangements, calendar management, answering phone calls and emails,  drafting correspondence, processing expenses, and assisting with the scheduling and logistics of  meetings and special events. They will use available systems and resources to track and research  data and produce and review reports.  
  • EA will coordinate ED office activities, setting realistic deadlines and managing the timelines. EA  will communicate on behalf of the ED with staff members in various teams across TNCC and its  parent organization The Nature Conservancy (TNC), as well as with donors, vendors, and partners.  
  • On behalf of the ED’s Office, they will provide other staff members with information they need to  make decisions and to solve problems.  
  • EA will act as a bridge for smooth liaison and timely communication between the ED’s Office and  all internal and external stakeholders. 
  • EA will coordinate all external meetings of the ED along with preparation and distribution of  background materials as needed. 
  • EA will ensure that the ED’s biodata is kept updated and responds to requests for materials  regarding the ED and the organization in general.  
  • EA will edit and complete first drafts for written communications to external stakeholders.
  • EA will serve as the ED’s administrative liaison to TNCC Board of Directors as well as India Advisory  Board.  
  • EA will assist ED and Board members with travel arrangements, lodging, and planning as needed. 
  • EA will maintain discretion and confidentiality in relationships with all Board members. 
  • EA will adhere to compliance with applicable rules and regulations. 
  • EA will be required to successfully complete critical aspects of deliverables with a hands-on  approach, including drafting acknowledgement letters, personal correspondence, and other tasks  that facilitate the ED’s ability to effectively lead the organization. 
  • EA will be required to take minutes, finalize, and distribute memos and reports on proceedings  etc. to meeting absentees as requested. 
  • EA will represent the ED’s office and serves as a primary point of contact for the ED when s/he is  unavailable; keep the ED duly informed of developments. 
  • EA will assist the ED to manage the follow-up to various decisions taken. 
  • EA will screen and direct phone calls and distribute correspondence.
  • EA will organize and maintain the ED’s Office filing system.
  • EA will facilitate cross-team coordination of travel and outreach plans. 
  • EA will ensure compliance with organizational policies and procedures, and external  requirements, in the assigned tasks. 
  • EA will be required to maintain confidentiality of sensitive information. 
  • EA will manage assigned tasks efficiently, set realistic deadlines, manage overall timelines, and  ensure accountability. 
  • EA will be required to prioritize conflicting needs; handle matter expeditiously, proactively, and  follow-through on assigned tasks and projects to successful completion, often with deadline  pressures. 

 

Knowledge, Skills and Abilities:

 

  • Multi-lingual skills and multi-cultural or cross-cultural experience. 
  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and  solving problems. 
  • Database skills, including managing and tracking data, and producing reports.
  • Good skills in MS PowerPoint and other presentation software 
  • Experience in development sector 
  • Experience working with a Board of Directors, donors, volunteers, the public, and/or all levels of  staff. 
  • Strong organizational skills and attention to detail
